Archive Appraisals and Cases

1.           Quit out of any Day One software that is running on your workstation. If you are in a network environment, with shared data, all other users must exit as well.

2.           Start Archiver by selecting Start | Programs | Day One Nova Products | Archiver. The main Archiver window will appear (see below).

3.           Click on the Archive icon. The Select Case(s) to Archive window will appear (see below).

4.           Select cases to archive:

·      To individually select cases, Ctrl-Click on each desired case

·      To select all cases shown in the grid, click the "Select All" button. Clicking the "Un-Select All" button will undo your selections.

·      To narrow down the list, enter the desired information in one or more of the Range Selection criteria, then click the "Retrieve" button. Note: if you are using Nova Office or Appraisal Manager, checking the "Archive selected cases only if Paid in Full" checkbox will result in unpaid cases not being archived. This is recommended. Clicking the "Clear Filters" button will remove all information from the Range Selection fields. Click the "Retrieve" button to refresh the grid.

·      You can also sort the cases in the grid by clicking on the column heading you want to sort by. For example, click on the CaseNumber heading to sort by CaseNumber (ascending); clicking the same column again will sort in descending order.

5.           Once the cases you want to archive have been selected, click the "Archive" button. The "Select…" dialog box appears, as shown below.

6.           Select an existing archive database, or create a new one to store the archived records. This database can exist on another drive, such as a removable ZIP, JAZ, or similar device. Archive databases are in the Access 97 database format. All associated appraisal files are stored in a ZIP file (viewable with utilities such as WinZip), in the same folder as the archive database, with the same base filename, but with a .ZIP extension. WARNING: Do not select an existing database that contains Comp information.

7.           Click on the Save button. Archiver begins archiving. Tip: watch the Status bar (located above the "Archive" button) for progress, errors, and completion status.

Note: clicking the "List Files" button at any time, will display the list of files that will be added to the Archive’s associated ZIP file. The subsequent dialog also allows the printing of this list, as well as the ability to save that list to a text file.

Scheduling an Archive

Since no one can be in any Day One product during the Archive Process, scheduling functionality has been added. To schedule an Archive, first select the desired cases to be archived. Then click the "Schedule" button. On the "Scheduling Options" (see below) dialog, first browse to the desired Archive database by clicking on the "Browse" button, then select the desired Date and Time in the provided fields. Finally, leave Archiver running, and the scheduled job will take place.
