Definitions of Client Database Fields

The Client database window contains three tabs: Search, New Client, and Edit Client Record. The three tabs contain the following fields:

Next Available (only in New Client Tab) - click to assign the next available code to the new client.

Client Code- the number or code your organization uses to identify the client.

Name - the name of the client.

Address box - the address of the client.

Optional Save Type (None, CAFE, ANSI X12) - Click in the appropriate radio button if you want to save your appraisals in an additional save type to the Day One standard format. For example, if you plan to send an appraisal via EDI to a client who needs to receive the appraisal in ANSI X12 format, click ANSI X12.

Client Turnaround Time - the number of days that the appraisal company has to complete the appraisal before it is due to the client.

Day Preference (Work/Calendar) - Choose Work if you will be filling in dates that don’t take weekends into account. Choose Calendar if you will be filling in dates that do take weekends into account.

 

Limit Field Length (Y/N) - Click Y if you would like to be stopped from entering text that will not fit in the field. Click N if you would like to enter text that will not fit in the field and have the extra text go into the text addendum.

 

NOTE: If you entered Y in the Limit Field Length field, above, it does not matter what you enter in this field.

Contact - the name and phone number of your main contact at the client site.

Telephone - the client’s telephone number and extension.

Modem No. - the client’s modem telephone number. Only include the area code if it is needed for dialing from your phone.

Fax No. - the client’s fax number.

 

We are known to this Client as - the name or number the client uses to identify you.

 

Modem - The modem fields are used for EDI communications. If you are unsure of what to fill in for any of these settings, leave the value that is already there alone.

Modem No. - the client’s modem telephone number. Only include the area code if it is needed for dialing from your phone.

Modem Prefix - If the client’s modem requires any special prefix, enter it here followed by a comma for a short pause.

Baud - Select the client’s modem’s Baud Rate. This should appear in his modem manufacturer’s documentation. Baud rate represents the speed of transmission over the phone line.

Parity, Data Bits, Stop Bits - These values are automatically filled in when needed by the Forms program. Do not change them unless Technical Support requests you do so.

Print Package - allows you to specify default print packages for the client for each form. You can either select a print package from the list of globally-defined packages, define a new global package, or define a private print package.

Open Orders - how many orders are still in progress for this client.

Completed Orders - how many orders have been completed for this client.

Database Buttons:

OK - Saves your changes to the Client database.

Cancel - Closes the database without implementing any changes, unless Save was pressed.

Close - Closes the database.

New Client buttons:

 

Clear - opens up a new client record with no data.

 

New Client and Edit Client Record buttons:

Remove Client - allows you to delete a client from the database.

Add/Edit Package - allows you to add a new print package or edit a package you have previously defined.

Private Package - allows you to define a private print package just for this particular client.

Fee - how much the client pays you to do an appraisal.

Client Instruction - allows you to record any special instructions the client may have, for example, requesting a phone call when an appraisal is sent or requesting a special number to be included in the cover letter.

Select Templates - allows you to specify a template to be automatically used whenever this client is specified for a new report.

CREATE - after you have entered the information for a new client, click this button to create the new client’s record.

SAVE - Saves your additions or edits to the client currently displayed.

Search buttons:

Clear Fields - clears the data from all the search fields so you can enter new information for which to search.

Find! - tells Forms to find all the clients whose data matches the data you have specified.

Find All - tells Forms to find all the clients in the database and list them in the box at the bottom of the page.
