Working with a Client
For information on creating a new Client or opening an existing one, please see the Clients topic. This topic will be an overview of each of the screens associated with adding/editing a case, as well as some basic functionality.
The Clients tab contains the bulk of the Client-related fields in Nova Office. Many of these fields will carry to a case when this particular client is selected. Depending upon the client, you may or may not want to fill every field in. For example, the Contact Name will be carried to a case. If you have more than one contact at this client, you may not want one of them to be the default. Although you can override the Contact Name at the case level, you will need to decide which way results in less error.
As in other areas of Nova Office, filling in the Zip Code will automatically complete the City and State as well. If the entered Zip Code covers more than one City, additional cities will be listed in the City drop-down list from which to select.
The Client tab lists the information Nova Office has about a particular client.
Client ID - Enter a client ID number or press [F2] for the next system generated number.
Client Name - Enter the full name of the client as you would like it to appear on any invoices you generate.
Attention - Enter the name of the person you most frequently contact at the client’s office.
Address, City/State/Zip... - Enter the address, city/state, etc. of the client.
Branch - If you are a branch office, enter your branch office identification number. If you are not a branch office, leave this field blank.
Contact Name, Contact Phone - Enter the name and phone number of your main contact at the client site.
Client’s ID for us - the name or number the client uses to identify you.
Client’s ID for Itself - the name or number the client uses to identify itself.
Loan# Description – description of the Client’s Loan number, for tracking purposes.
Require audits – indicates that an audit must be performed on the appraisal before it can be transmitted. This is only applicable in special situations, where a Client is using Nova Appraisal Manager.
Open Orders, Orders Completed - this information is automatically generated.
Avg Turn Time - This is the average turnaround time requested by the client. Office uses this number to calculate when the appraisal will be due in house. It is due in house the same day as the client gets it, unless you fill in Prep Days, available in Edit Case, to have the appraisal due in house sooner.
Turnaround Days - the number of days you have to complete the appraisal before it is due to the client. This information comes from the information you have entered into the Client database.
Terms - the terms by which you expect to be paid, for example: "Net 30", or "on receipt." This information comes from the information you have entered into the Client database.
Calendar/Work Day (C or W)- Choose Work if you will be filling in dates that don’t take weekends into account. Choose Calendar if you will be filling in dates that do take weekends into account.
Transmission Format (Day One, X12, ALLTEL, EVY) - Click in the check box(es) to select the data format(s) the client can accept. No longer appplicable.
Email Addr - Enter the client’s Internet e-mail address.
One Time Client - Check this box if this is a one-time client—you will not be doing any future work for him. Then this client will not show up in your client list.
To add or edit the Product list for this Client, click the Products button. The Product Selection dialog is displayed. To add a Product, select one from the top grid and click the Add button. To Remove a Product from the Client’s Product List, select it in the lower grid and click the Remove button. To edit the fee for a Product, simply select the fee in the right-hand column of the lower grid and make the required change.
To view Cases entered for this client, select View | Cases.
To select Cases from this Client for Billing, select View | Billing.
To post payments received from this Client, select View | Post Receipts.
